ENTER Requirements
ENTER is THE tourism and technology annual event that offers a worldwide and unique forum for attendees from academia, industry, government, and other organizations to actively exchange, share, and challenge state-of-the-art research and industrial case studies on the application of information and communication technologies to travel and tourism. The three tracks, namely Research, Destinations and Industry are designed in a way that enables maximum exchange of information and interaction.
IFITT awards the rights of implementing the ENTER conference to a HOST ORGANISATION (HO) who is responsible for the organisation and hosting of the conference
DATES 3days +1 PhD workshop Normally end of January
LOCATION: Conference Centre or Conference Hotel or High quality educational establishemnt
PARTICIPATION: About 400 participants – 200 academics -100 industry 100 destination
FEES subject to negotiation – Indicative for ENTER2011
CONFERENCE ORGANISER - IFITT RESPONSIBILITY
provides a state of the art conference programme.
Thus IFITT is responsible for
- identifying a Conference Host and monitors preparation stages
- providing co-ordination for the activities of the programme structure
- provide professional and scientific content of the programme
- providing relevant material in accordance with the print timetable
- providing Scientific secretariat
- the invitation and briefing of and communication with the speakers
- the call for papers for the Research track
- the refereeing of the submitted papers and the selection of those papers published in the ENTER proceedings
- the organization of the PhD Workshop to run one day before the main conference
- the refereeing of the papers for the Best Paper and other Awards
- establishes a comprehensive and dedicated web site to promote ENTER20xx on www.enter20xx.org – payable by Conference Host
- Undertakes a comprehensive internet marketing and social media campaign to promote the conference globally

- Registration fees from delegates
- Delegate fee from local national day

- IFITT Membership For 2 years subsequent to the conference, HO or nominee will be listed as an IFITT sponsor and get the IFITT services for free without paying a membership fee.
HOST ORGANISATION RESPONSIBILITIES
- Identifies and books that Venue
- Manages registration online of delegates. Online registration includes full credit card processing online.
- Accommodation HO may like to establish preferential rates at a range of accommodation establishments in the area – baring in mind that ENTER delegates are technology savvy and will use a range of systems around to get good rates.
- Prints 4000 IFITT/ENTER Cards for distribution around the world
- Prints final Conference Programme
- Prepares Delegate Bag and Pack
- Provides IFITT 2 Exhibition Spaces for IFITT free of charge at the ENTER exhibition
- Organises 2 evening/social events = ENTER WELCOME RECEPTION AND dinner/PARTY! HO should provide a welcome Reception on Wednesday and a Dinner/Party on Thursday night.
- coffees breaks and lunch should be included in the price of the registration.
- Provides office for the IFITT-ENTER committee equipped with internet access, phone and printer
- Provides 1 speakers preparation office
- Press In addition to the press releases sent out by IFITT, HO informs the local and national press.
- Organises the National day in collaboration with IFITT
PAYMENTS
- Pays for conference venue with one large room 400 people + 6 parallels of 100 people
- Provides a number of Free Registrations and room nights
- Travel costs for 3 ENTER/IFITT board members for a site inspection before the conference
- Pays IFITT a fee for marketing, organisational and programme matters. Payable to provider in two instalments (15 November and 30 January prior to conference)
- Pays the publisher toward the cost of the Proceedings and their transportation. Payable to Springer in November prior to conference
- Pays IFITT or appointed web designer for online marketing and social networking promotion. Payable to provider in two instalments (15 August and 15 January prior to conference)
- ENTERS a revenue share with IFITT per delegate
